Advertising Guidelines

All advertising will be reviewed by HIMSS. All advertising is also subject to approval by publisher.

To maintain the integrity of HIMSS publications, advertising (i.e., promotional material, advertising representatives, companies, or manufacturers) will not influence decisions about content or delivery of products and services. Decisions to sell advertising are made independently of specific product and service content.

Advertisements must be readily distinguishable from editorial content. If the distinction is unclear, the word "advertisement" will be added.

HIMSS, in its sole discretion, retains the right to decline any submitted advertisement or to discontinue posting of any advertisement previously accepted.

The advertiser assumes liability for the content of all advertising printed, and also assumes responsibility for any claims arising therefrom made against the publisher.

Cancellation of and changes to space reservations must be received in writing prior to the published space reservation deadlines. Alterations to materials must be received prior to published materials deadlines.

All positions other than premium ones are given on a space available basis. Position requests will be filled to the greatest extent possible, but cannot be guaranteed except for cover and paid premium positions.

Print Advertising Specifications

  • Acceptable digital file formats: PDF (PDF/X-1a PLUS; hi-res 2400 dpi); or composite TIFF or EPS files with pictures/art and fonts embedded.
  • Bleed ads should include 1/8-inch bleed on all sides and crop marks offset by 12 pts.
  • All pictures should be at least 300 dpi at 100% for CMYK and grayscale; 600 dpi for line art.
  • Resource Guide and JHIM: Total ink density not to exceed 280%. 150 line screen. Yellow Pages, Healthcare IT News and show dailies: Total ink density not to exceed 260%. 110 line screen.
  • All color should be CMYK. No spot colors accepted.
  • Please send color matchprint proofs at 100%. Without a proof, the publisher cannot be held responsible for the quality of the color reproduction. SWOP standards apply.
  • Deviation from these standard guidelines may require additional time or cost, and/ or sacrifice reproduction predictability. All efforts are made to preserve advertising materials in their original condition, however, publisher is not responsible for lost or damaged materials after publication.

NOTE: Digital files are preferred. There is a $200 surcharge for ads received on film. Film must be sized to the exact dimensions expected or will require additional charges.

  • A minimum $500 late fee may be charged for materials received after the materials due dates.
  • Payment for all advertising space is due at space reservations deadlines, unless credit terms have been established.
  • All signed agreements are firm. No cancellations accepted after reservations deadlines.
